Privacy Policy

The short version
- We collect what we need to run our auctions, ship your orders, handle consignments, and stay in touch.
- We don't sell or rent your personal information.
- Card payments are processed by Stripe. We don't store your full card number.
- Marketing emails and texts are optional. Unsubscribe anytime, or reply STOP to any text.
- You can ask us to show you, correct, or delete your information.
1. Who we are and what this covers
DGW Collectibles, Inc. d/b/a DGW Collectibles & Estates ("DGW," "we," or "us") is an auction house in Poughkeepsie, New York. This policy explains how we collect, use, and share personal information when you bid or buy in our auctions on Auction Ninja or elsewhere, consign items with us, take part in our referral program, visit our websites (including dgwcollectibles.com and its subdomains, such as consign.dgwcollectibles.com and terms.dgwcollectibles.com), or contact us.
Auction Ninja runs its own website under its own privacy policy. Where a DGW service posts its own privacy notice, that notice also applies.
2. Information we collect
- Contact and account details: your name, email address, phone number, shipping and billing address, Auction Ninja username or bidder number, and login details for our websites.
- Bidding and purchase details: your bids, invoices, payment status, shipping and tracking, insurance claims, and any payment disputes.
- Payment information: Stripe processes card payments. We receive limited details, such as card type, the last four digits, and whether a payment succeeded, but not your full card number.
- Consignment and referral details: information about the items you consign (including photos), your consignment requests and agreements, sales results, the payout details you give us, and tax information when the law requires it. For referral partners, we keep who you referred and what you earned.
- Tax exemption details: whether you're tax-exempt, and any resale or exemption certificate (such as New York Form ST-120) that you or Auction Ninja share with us, which includes your business and tax ID information.
- Communications: emails, texts, calls, and our notes about your orders or questions.
- Device and usage information: on our own websites and in our emails, we and our providers may use cookies, pixels, and similar tools to collect your IP address, browser and device type, pages viewed, the site that referred you, and whether you opened or clicked our emails.
- Packing video: our packing station is recorded on video to document the contents and condition of orders for insurance claims and payment disputes. Recordings can show shipping labels.
3. Where it comes from
We get information from you; from Auction Ninja when you register, bid, and buy in our auctions; from Stripe and other payment providers; from carriers and shipping services (tracking and delivery); from a person who refers you to us or whom you name as your referrer; and automatically from your device when you use our websites or open our emails.
4. How we use it
- To run our auctions: process bids, invoices, and payments, and ship, track, and insure orders.
- To handle consignments: evaluate, catalog, photograph, sell, and pay out, with statements.
- To provide customer support and send messages about your orders.
- To prevent and investigate fraud, verify identity for high-value purchases, and keep our systems secure.
- To respond to payment disputes and chargebacks, collect unpaid invoices, and enforce our Terms & Conditions of Sale.
- To meet legal, tax, and accounting obligations, including sales tax.
- To email you about upcoming auctions and offers (you can unsubscribe anytime), and to text you if you opted in.
- To measure and improve our websites and advertising.
5. How we share it
We don't sell or rent your personal information. We share it only as follows:
- Companies that help us run DGW: payments (Stripe), our auction platform (Auction Ninja), shipping and labels (USPS, UPS, and EasyPost), shipping insurers, email and text-message delivery (such as Resend), website and database hosting (such as Supabase and Vercel), and advertising and analytics (such as Google and Reddit). Some of these companies, including Auction Ninja, Stripe, Google, and Reddit, also handle information under their own privacy policies.
- Payment networks and card issuers, to process payments and respond to disputes.
- Carriers and insurers, to deliver orders and handle claims.
- Collection agencies, courts, and our professional advisers (such as lawyers, accountants, and insurers), when needed to collect unpaid amounts, resolve disputes, or protect our rights.
- Government authorities, when the law requires it (for example, a subpoena or a tax audit), or to protect the safety and rights of DGW, our customers, or others.
- A buyer or successor, if DGW's business is sold, merged, or reorganized.
- Anyone else, with your permission.
6. Text messages
If you opt in to DGW text messages, we'll send auction alerts, reminders, and offers. Message frequency varies. Message and data rates may apply. Reply STOP to unsubscribe or HELP for help. Agreeing to marketing texts is never a condition of buying. We may also text you about an order you placed, such as an invoice, payment, or shipping update.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. The sharing described in Section 5 excludes text-messaging originator opt-in data and consent; this information will not be shared with any third parties.
7. Cookies, ads, and Do Not Track
On our own websites, we and our advertising partners may use cookies and pixels to understand how visitors use the site and to show and measure our ads on other websites, which means those partners may collect information about your activity over time and across sites. You can block or delete cookies in your browser settings (some features may not work without them), manage Google ad personalization at myadcenter.google.com, and opt out of interest-based ads from many companies at optout.aboutads.info.
Some browsers send "Do Not Track" signals. Our websites don't currently respond to them. Auction Ninja's website uses its own cookies under its own policy.
8. How we protect it
We use reasonable safeguards for the information we hold, including encrypted connections, limited staff access, and two-factor authentication on our business systems. No method of storage or transmission is perfectly secure, so we can't guarantee absolute security. If a breach affects your information, we'll notify you as the law requires.
9. How long we keep it
We keep personal information as long as we need it for the purposes above. Transaction, consignment, and tax records are kept as long as tax, accounting, and other laws require. Records tied to a dispute, chargeback, or unpaid balance are kept until it's resolved, and we keep a record of opt-outs so we can honor them. We delete or anonymize information we no longer need.
10. Your choices and rights
- Email: click "unsubscribe" in any marketing email. We'll still send messages about your orders.
- Texts: reply STOP to any text.
- Your information: you can ask us what personal information we have about you, ask for a copy, ask us to correct or delete it, or ask us to stop using it for targeted advertising.
To make a request, email dgwcollectibles@gmail.com from the email address on your account. We may need to verify your identity, and we'll respond within 45 days. We honor these requests no matter which state you live in, except where we must keep information for the reasons in Section 9 (for example, an open invoice, tax records, or a pending dispute). If we decline a request, you can appeal by replying to our decision. We'll answer your appeal within 60 days, and if you're still not satisfied, you may contact your state attorney general.
11. Children
Our auctions are only for adults 18 and older, and our services aren't directed to children. We don't knowingly collect personal information from anyone under 18. If you believe a child has given us personal information, contact us and we'll delete it.
12. If you're outside the United States
DGW is based in the United States, and your information is processed and stored here.
13. Changes to this policy
We may update this policy from time to time. We'll post the new version here with a new effective date, and if a change is significant, we'll also tell you by email or with a notice on our auction page.
